COVID-19 Update

SUMMARY:
Easthampton Media closed to the public and switched to a completely remote operation on March 16th due to the COVID-19 pandemic. The essential services of the organization that continue to operate remotely are:

  1. Broadcasting/Programming content our local TV channels.
  2. Remote public meeting support, live broadcasting, and online distribution of meetings.
  3. Member project consultations and remote support.
  4. Strategic partnerships and virtual programming.
  5. Administrative work and long-term planning.

The Governor of Massachusetts released a Phased Reopen Plan for businesses and organizations in the State which began with Phase 1 on May 18th.
Easthampton Media’s breadth of services span multiple categories of the Governor’s Phase Plan. The organization has been monitoring new announcements and protocols from the State and local authorities and has developed a plan to add back some of the services that were barred under previous Phases.

In order to provide public access services at this time, Easthampton Media is implementing contactless equipment borrowing in compliance with the State and local health orders.
Our Staff will follow sanitizing procedures for all equipment prior to pickup and upon return.

Members of Easthampton Media may take advantage of contactless equipment borrowing to produce noncommercial audio/video projects starting on July 13th, 2020.

Finished projects created with Easthampton Media’s resources must be submitted for distribution with Easthampton Media (TV and online). Contact us for Rental Rates if you are producing commercial or personal productions that cannot be distributed with us.

Easthampton Media’s facility and studio remain closed for the time being, as we evaluate supplies, equipment, and operations protocols to keep everyone safe and reduce the spread of COVID-19.

CONSULTATIONS/TRAININGS:
Easthampton Media Staff are available by appointment for project consultations, training, and technical support related to Members’ projects Monday-Friday 9am-5pm. All appointments will be over the phone or via video conferencing.

EQUIPMENT RESERVATIONS:
Equipment availability is first come, first serve. Members may borrow equipment for a maximum of 1 week at a time, to allow access to the equipment for others.
Reservations may be made 3 ways:

  1. Online by filling out this form on our website.
  2. Over the phone by calling 413-203-1360.
  3. By emailing members@easthamptonmedia.org.

Pick up and return of equipment is by appointment Monday-Friday 9:15am-4:30pm.
Reservations must be made at least 1 business day in advance to allow EM Staff the time to prepare and sanitize.
Same-day reservations will not be honored.

EQUIPMENT PICK UP:

  1. Members must enter and exit the Eastworks building through the Marketplace Entrance (across the hall from the Registry of Motor Vehicles)
  2. All people entering the Eastworks building are required to wear masks.
  3. Members arrive to Easthampton Media at the scheduled appointment time to pick up their equipment reservation.
  4. The reserved equipment (sanitized by EM Staff) will be on a table outside of Easthampton Media’s door, along with an “Equipment Sign-Out Form” pre-filled out with the list of equipment included in the reservation.
  5. The Member should double check that everything they requested is listed and packed. Members signs the form, and leaves it on the table, and exits the building with their equipment.

No entry to the facility will be permitted. If there is a question or missing item, the Member can call 413-203-1360 to speak with Staff.

EQUIPMENT RETURN:

  1. Members must enter and exit the Eastworks building through the Marketplace Entrance.
  2. All people entering the Eastworks building are required to wear masks.
  3. Members arrive to Easthampton Media at the scheduled appointment time to return equipment. The “Equipment Sign-Out Form” will be on a table outside of Easthampton Media’s door.
  4. Member should double check that all listed equipment is present before signing it in.
  5. Member should place returned equipment on the table, and the Staff person will wave from inside the facility to signify they saw the return.

MEMORY CARDS:
All memory cards must be returned along with the equipment at the scheduled return appointment. Members must transfer their footage/raw files from the memory cards to their own harddrive or computer before the return appointment.
It is recommended to store 2 copies of footage on 2 different harddrives to prevent loss in the case that one fails.
Easthampton Media is not responsible for lost footage.

EXTENSIONS AND LATE RETURNS:
It is important that Members return equipment at the scheduled day and time so Staff can prepare to receive the equipment.
Extensions may be granted on a case by case basis and given that the equipment is not reserved by another Member or Staff. Call 413-203-1360, or email members@easthamptonmedia.org at least a day in advance of the scheduled return.

SANITIZING:
All equipment is wiped down with the appropriate sanitizer before pickup and after return.
If you feel the need to wipe any equipment down while it is in your care, please do not spray anything directly on electronics or lenses. Please note that some sanitizers can damage equipment if not applied properly.Here are cleaning guidelines from the Canon camera company.

EDITING:
Our facility is closed for the time being. We are applying to grants to help us purchase loan-able editing laptops for Members, but it is going to take some time before we have them. In the interim, if you have a computer at home, we can suggest some free software and resources to get you started. Contact us!
